Below are five roofing templates you can paste into Word or Google Docs and fill in: an estimate, a contract, an invoice, a workmanship warranty and a crew work order, all under one letterhead. The contract has a slot for the federal three-day cancellation notice that a sale signed at the homeowner’s house needs. The invoice comes in two versions, so it fits whichever way your state taxes materials and labor.
Fill in the brackets and delete the lines that don’t fit your jobs. Have your attorney read the contract and warranty before a homeowner signs either one, and ask what your state adds to them.
Put one letterhead at the top of every form
The FTC’s Cooling-Off Rule requires your name and address on the contract for any sale it covers. A letterhead puts them on every page the homeowner keeps, so each form points back to the same company and phone number. Paste this block at the top of each template below.
[COMPANY NAME]
[Street address], [City, State ZIP]
[Phone] | [Email] | [Website]
License no. [if your state or city issues one] | Insured with [carrier]
The estimate prices rotten decking per sheet, outside the total
Give the homeowner a priced list of what you will do, with rotten decking at a price per sheet below the total. Whatever count the crew finds under the old roof then goes on the invoice at a price the homeowner already saw.

Contracts signed at the house need a cancellation notice, and Texas adds two
Under the FTC’s Cooling-Off Rule, a homeowner who buys $25 or more at their own home can cancel until midnight of the third business day after the sale. Saturday counts as a business day, while Sundays and federal holidays don’t. Some emergency repairs that the homeowner asked for are exempt.
For a covered sale you must give the buyer a dated contract that explains the right to cancel, plus two copies of a cancellation form. Both have to be in the language you used to sell the job, so a pitch made in Spanish needs Spanish paperwork. If the homeowner cancels, you have 10 days to return their money and cancel any checks they signed. Copy the notice wording from the rule itself, 16 CFR Part 429.
If you work in Texas, insurance jobs need a deductible notice. Business and Commerce Code 27.02 requires it in at least 12-point bold type on any contract of $1,000 or more that you expect to be paid wholly or partly from an insurance claim.
The notice opens “Texas law requires a person insured under a property insurance policy to pay any deductible applicable to a claim made under the policy.” Copy the full text from the statute. Paying, waiving or absorbing the deductible, or offering a rebate that offsets it, is a Class B misdemeanor in Texas.
Texas Property Code 53.255 adds a disclosure statement. The original contractor on a residential construction or remodel job must give it to the owner before the contract is signed, and it opens “KNOW YOUR RIGHTS AND RESPONSIBILITIES UNDER THE LAW.”

Roofing Contract Template: The Clauses a Residential Roofing Contract Needs
The invoice splits materials from labor where tax depends on it
The Texas Comptroller lists reroofing as repair or remodeling, and labor to repair or remodel a home isn’t taxable. A Texas roofer on a lump-sum contract (one price for the job) pays sales tax on materials when buying them and charges the homeowner no tax. On a separated contract, with materials and labor priced apart, the roofer gives suppliers a resale certificate and collects state and local tax on the materials line only.
Other states tax roofing work differently, so ask your accountant which version fits yours. Then use that version on both the contract and the invoice.

Your warranty covers your labor, and GAF’s enhanced warranties need registering within 45 days
The workmanship warranty is your promise about the installation. The shingle warranty belongs to the manufacturer. GAF says registering its enhanced warranties (System Plus, Silver Pledge, Golden Pledge and President’s Club) is the contractor’s job, within 45 days of installation, and it tells homeowners to contact GAF if their warranty hasn’t arrived within 60 days. Write the registration date on the warranty you hand over, and look up the deadline for any other brand you install.

The work order tells the crew the job and records what you owe them
The work order is the page your crew or sub crew works from, and its pay line is what you owe them for that job. For payments made in 2026, you file a Form 1099-NEC for any independent contractor you pay $2,000 or more over the year. Keep each crew’s signed work orders in one folder and add up the pay lines in January.

The decking count on the work order is the number that goes on the invoice, so have the crew lead fill it in before leaving the roof.
Check these before the first homeowner signs
- Your name and address on every form, through the letterhead.
- Rotten decking priced per sheet and left out of the estimate total.
- For sales signed at the house, the cancellation notice from 16 CFR Part 429 and two cancellation forms, in the language of the pitch.
- In Texas, the deductible notice on insurance jobs, plus the 53.255 disclosure where it applies.
- One tax treatment, lump sum or separated, used on the contract and the invoice.
- The manufacturer warranty registered, with the date written on the workmanship warranty.
- Each crew’s work orders filed together for the 1099-NEC count.
